Job Overview

The Part-time Office Assistant is responsible for various administrative and clerical duties in order to provide support to various departments within the organization.



  • Answer general phone line as needed and route calls as appropriate, check messages on a daily basis.
  • Sort and distribute incoming and outgoing mail as needed.
  • Upkeep of files, shredding documents as necessary.
  • Assist and back up the Business Operations Coordinator as needed especially with employee and Sales Events
  • Miscellaneous administrative duties for departmental managers.

Accounting/Operations Assistance

  • Assist the Business Operations Coordinator with the timely collection and processing of expense reports. Ensuring accuracy, reconciling receipts, and obtaining management authorization for payment.  Answering employee questions regarding reimbursable travel reports, cross-charging, and company expense policies.
  • Assist the Business Operations Coordinator with the creation of maintenance renewal quotations.
  • Under the direction of the Accounting & Sales Operations Specialist, make collection calls on a regular basis for Accounts Receivable.
  • Order and maintain stock of office supplies.
  • Regularly maintain fixed asset spreadsheet, including employee computers and equipment, office equipment and capital equipment.


  • Minimum of 2-5 years of experience in an administrative function.
  • Suitable knowledge of general accounting practices and business procedures.
  • Consistent attention to detail and high level of accuracy required.
  • Fluent with general office software such as MS-Office.
  • Experience with accounting and sales automation software a plus ( – Financial Force).
  • Comfortable working independently and comfortable working collaboratively as part of a team.
  • Excellent interpersonal skills and upbeat personality.
  • Fast learner, resourceful, creative and driven.
  • Ability to prioritize tasks.
  • Strong written and verbal communication skills.
  • Comfortable and productive in a fast paced environment.
