Protecting Your MEDITECH HCIS

Ensuring your MEDITECH Healthcare Information System (HCIS) is fully protected and quickly recoverable in the event of system failures or larger disasters.
Having made a considerable investment in your MEDITECH HCIS to underpin your healthcare facility’s operations, your patients and staff rely on you to make the system available at all times – even during unforeseen disasters, system failures, and data corruption events. While there is some flexibility re-establishing normal operations during the unexpected, you need to know that a reliable, recent copy of all your data can be easily brought back into live production quickly and predictably.
Challenge 1
“My healthcare organization totally relies on the MEDITECH HCIS. If it goes down, how can I ensure my systems and data are fully protected?”
The MEDITECH HCIS system is generally considered the healthcare organization’s most critical application – it underpins the running of the entire facility. The ability to back up and restore it is critical should they be subject to a disaster, system outage, loss or corruption. However, to make a transactionally consistent backup of such a complex system requires full co-operation between the application and the backup tool. But, there are few certified tools available that can provide the required level of protection and BridgeHead’s expertise in protecting the MEDITECH environment enables us to offer you unique experience and confidence. Can your healthcare facility afford backups that are likely to be compromised with partially updated and/or inconsistent data?
The Answer
BridgeHead Software has enjoyed a unique relationship with MEDITECH® for nearly fifteen years now, first teaming up with them in 2001. This led to the introduction of Integrated Serverless Backup (ISB) and Integrated Disaster Recovery (IDR) that provides a comprehensive solution for the backup and disaster recovery of your MEDITECH HCIS. By using a unique method for automatically creating consistent point-in-time copies of MEDITECH data, BridgeHead’s MEDITECH ISB and IDR Backup Agents can either back up HCIS data or replicate it to secondary storage. In addition, BridgeHead’s MEDITECH SCA Archiving Agent offers a policy-based storage management system to affordably manage and protect all the digital content resulting from the paperless environment enabled by MEDITECH’s Scanning and Archiving (SCA) module. To this day, BridgeHead is still the only vendor offering data protection software that works on every MEDITECH-certified SAN. In fact, MEDITECH is so confident in BridgeHead’s solutions, they use them for their own in-house data management.

Challenge 2
“I need to recover my MEDITECH system as soon as possible so patients continue to receive the care they deserve”
On occasion, applications crash, hardware fails and power outages take out your systems. This is par for the course. But, in healthcare organizations, it’s critical that core applications are returned to normal operation in the quickest timeframe possible with the minimum disruption to operations. Why? Because of the direct impact to the quality and timely delivery of patient care. Your MEDITECH HCIS is arguably the most important system running in your environment. But, it’s not just about backing up the application, though that’s obviously important. It’s really all about recovery. So, in the event of an outage or larger disaster, how confident are you that you can recover your MEDITECH HCIS in sufficient time so as to not impede on the smooth running of your healthcare facility’s operations and negatively impact your patients?
The Answer
BridgeHead’s MEDITECH ISB and IDR Backup Agents and MEDITECH SCA Archiving Agent are designed not just to protect the HCIS, but to ensure rapid recovery in the event of an outage or disaster. As our backups have been designed specifically for the MEDITECH HCIS, you are able to quickly switch over to an application consistent point-in-time version of the MEDITECH database by mounting one of the disaster recovery copies maintained by the backup software. Additionally, BridgeHead manages a fully protected archive for the voluminous data stored by the MEDITECH’s Scanning and Archiving (SCA) application. As a consequence, this data does not need to be restored in the event of a MEDITECH outage – once the application itself is restored the archive can be selected and all the data will be available for use immediately.  Further, BridgeHead also offers a full managed service for the recovery of a MEDITECH environment if you prefer that we handle that for you. So, if you are looking for a comprehensive MEDITECH HCIS recovery capability, BridgeHead’s unique solutions will give you peace of mind to know your systems and data are safeguarded and readily available.

Challenge 3
"Is patient data safeguarded in the event of a loss, corruption, accidental deletion or disaster?"
We hear from many healthcare providers about the challenges they face in securing and protecting patient information across the disparate systems dispersed across their facilities. Of course, organizations have to prepare themselves for major disasters. But, it’s the more regular outages, data losses, system corruptions or accidental user errors that have the biggest drain on IT time. In these days of 24×7 healthcare, traditional backups take too long, do not complete in the allotted time windows and often degrade application performance, which means that they often do not get done. So, how can a healthcare organization ensure their patient information is fully protected?
The Answer
Traditional approaches to protecting systems and data are no longer adequate to meet the demands of today’s healthcare organization and to ensure patient information is properly safeguarded. BridgeHead’s RAPid™ Application Protection solution allows you to optimize your data protection and recovery for any application and its data. By using a mix of data protection strategies, RAPid is designed to give you the right protection tool for your application and data recovery requirements. Firstly, RAPid offers Automated Object Protection (AOP). AOP allows individual files to be protected in an archive and provides search and retrieval capabilities to recover files individually. Secondly, RAPid provides System Level Backup (SLB) for the protection of entire applications (system, database and objects). SLB protects at the system level giving fast backup and enables swift recovery in the event of a system outage, corruption, major loss or disaster. This division of responsibility allows for backups to finish on time and speedy recovery both at the file and the system level.  Additionally, RAPid helps achieve governance and compliance mandates while protecting your data.

Challenge 4
"If I lose a system, can I recover and be operational in a reasonable time?"
From time to time, IT systems fail. Power outages, system crashes, faulty hardware – whatever the issue, healthcare IT organizations need to be prepared. Backing up healthcare systems is just one element. But, recovering that system so it’s operational, in the shortest timescale possible, is imperative for the continued smooth running of hospital operations and the delivery of care. But, healthcare applications and the data they create have got much larger. Consequently, not only do the backups take a considerable time to complete, but recovering those systems takes even longer – and this is often time a healthcare facility cannot bear given the demands of their environments. So, how can a provider ensure the minimum system downtime in the event of a failure so as to ensure continuity of healthcare operations?
The Answer
Most applications are made up of a system, a database and many data files – the bulk of the volume (frequently as much as 90%) being in the data files themselves. To rapidly recover an operational application requires that the system and database be protected independently of the data files. RAPid’s Automatic Object Protection (AOP) takes multiple copies of files as they are written by the application and distributes them across your storage estate to give the maximum protection. All these copies are independently written and verified, so there is no chance of replication errors or data corruption. RAPid’s System Level Backup (SLB) works with the application to protect the remaining infrastructure at the system level (block by block), ensuring that the resultant backup is both timely and application consistent. In the event of system loss, an SLB system restore brings back the application swiftly. The data files do not need to be restored as, once restored, the application needs just to reference AOP to be pointed to one of the copies of the data files.  Additionally, for those who prefer, BridgeHead offers a managed service for backup and recovery if you would like us to handle that for you.

Challenge 5
"I am struggling to complete full backups for my healthcare organization's applications"
As applications and their data continue to grow, so does the length of time it takes to carry out a full back up using traditional methods. With care giving now delivered around the clock, there is no longer a ‘good time’ to run a backup procedure without some level of impact, whether that be network or application performance and the knock on effect to staff. We talk to a lot of healthcare providers who tells us that for some of their larger, enterprise applications, a full backup can take two days – this means they will always have two days of data at risk. For some of their less critical systems, they have decided not to protect them at all – it would simply take too long and be too disruptive. This leaves them exposed and uncomfortable. There has to be a more efficient way for healthcare providers to fully backup their applications.
The Answer
BridgeHead’s RAPid Application Protection is a new breed of solution that does things a little differently. Instead of repeatedly backing up 80% of your unchanging data, such as medical images (which just clog up the backup window), RAPid’s Application Object Protection (AOP) isolates these data objects from the rest of the system, taking multiple, independent copies that can be dispersed across your storage infrastructure as best suits your organisation. Once you’re using AOP, you automatically reduce your back up window by 80% – this means you are not only able to complete backups more efficiently and in a timely fashion, you will also be able to take more frequent copies, dramatically improving your Recovery Point Objectives (RPO) and Recovery Time Objectives (RTO).
